1. Information you provide
We process information you provide when creating or managing an account, including name, email address, company details, profile information, support messages and information submitted through public contact or enquiry forms.
2. CRM workspace data
Business customers may enter customer records, contacts, products and services, quotations, invoices, payments, expenses, documents, follow-ups and other operational information into QIXERA. The subscribing business is responsible for having an appropriate basis to place that information in the service.
3. Technical and usage data
We may collect device and browser information, IP address, country-level location, timestamps, authentication events, application activity, error information and similar technical data needed to secure, operate, troubleshoot and improve the service.
4. How information is used
Information is used to provide and administer QIXERA, authenticate users, operate CRM features, respond to support requests, improve reliability and usability, prevent abuse, communicate service information and comply with legal obligations.
5. Payments
When paid subscriptions are enabled, payment details are processed through the payment provider shown at checkout. Where Paddle is used, Paddle may act as payment provider or merchant of record. QIXERA does not need to store full payment-card numbers in the CRM application.
6. Service providers
QIXERA uses infrastructure and technology providers to deliver the service, including hosting, database, authentication, monitoring, email and payment services. These providers process information only as needed to perform their contracted functions and under their own applicable security and privacy obligations.
7. SMTP and connected services
If a business connects its own SMTP server or another external service, configuration data is used to enable that integration. Sensitive credentials are handled server-side and should not be shared with users who do not require administrative access.
8. Cookies and analytics
The public website may use necessary browser storage and, where enabled, analytics or marketing technologies to understand site performance and visitor activity. Consent controls may be presented where required by applicable law.
9. Sharing and disclosure
We do not sell personal information to advertisers. Information may be shared with service providers that operate QIXERA, with a business customer’s authorized users, when required by law, to protect rights and security, or as part of a legitimate business transfer subject to appropriate safeguards.
10. International processing
Cloud and payment providers may process information in countries different from your own. Where required, appropriate contractual or legal safeguards are used for international transfers.
11. Retention
Information is kept for as long as reasonably necessary to provide the service, maintain business and security records, resolve disputes and meet legal obligations. Retention periods can differ by data type and account status.
12. Security
QIXERA uses access controls, authenticated sessions, role-based permissions and managed cloud infrastructure to protect information. No online system can guarantee absolute security, so account owners should also use strong credentials and restrict administrative access.
13. Your choices and rights
Depending on applicable law, you may have rights to request access, correction, deletion, restriction, portability or objection regarding personal information. Requests relating to data controlled by your employer or another QIXERA customer may need to be directed to that business first.
14. Contact and updates
Privacy questions or requests can be submitted through the contact page on qixera.com. This policy may be updated as QIXERA, its providers or legal requirements change; the effective date will be revised when material changes are published.
